  On February 24, 2020, Voyant will make product updates to the Customer Administration Portal to include new features that enhance user functionality and and improve user experience.   New Features   Push-to-Talk Settings Push-to-Talk settings are now available for each user and in Bulk Updates. For an individual user, this service should be enabled first. You will see an Enable option within the Call Control settings while editing settings on the user:   Once enabled, the settings should be applied to each user that is allowed, or prevented, to Push-to-Talk other users. In the example below, this user is set to allow anyone to send a Push-to-Talk call to them with the exception of extension 1004. The Access List option can also be set to allow only specific users from the listed extensions to use Push-to-Talk with this user:   The Bulk Update feature can be used to update a group of users that require Push-to-Talk. This will show a list of users that can be selected and configured for this service:     Bulk Update for New Features To make enabling new features like Push-to-Talk easier for multiple users, a new Features button has been added in the Manage Phone System section in each location that will allow you to enable each new feature for all users:   Click the Features button and a list of any new features which haven’t been enabled for all users will be displayed:   To enable any feature, click the Activate button. This only needs to be done once on any one location to enable for all users. The process runs in the background and the status will show completed when done.   988 Extension In preparation of a potential FCC requirement to support 988 as a Suicide Prevention Hotline, 988 will now be a reserved extension to prevent any future use of this specific extension. Existing users will not be affected, but may need to change extensions at a future date. Extended Away Voicemail Greetings The Extended Away Greetings feature can be set up within a user’s Voicemail settings. A separate recording can be uploaded to indicate that a user will be away for an extended period. The Disable Message Deposit setting can be used to disable callers from leaving voicemails and filling up the user’s voicemail box while away: Call Park Recall Timers Call Park timers can now be adjusted. After parking a call, the default setting will return the call to you after being parked for 45 seconds. This new feature allows adjustments to the timeout between 30 and 600 seconds. The ability to set an alternative recall destination to a Hunt Group is also now available. For example, you might want a parked call to be recalled to a specific Hunt Group instead of the person who originally parked the call. Additionally, you can change the ring pattern for parked calls that are recalled. The feature is per location group. The settings are located in the Manage Phone System settings for each location:     Hunt Group Busy Control Hunt Groups now have an option allowing Hunt Group Busy members to exit the group. This is useful for quick meetings, end-of-day shifts or other cases where a user in the Hunt Group needs manual control over when calls should follow the Call Forwarding Busy option. When enabled, any user in the Hunt Group can dial #51 to enable the busy policy, #52 to disable the busy policy, or #53 to hear the current busy policy status:       Email2Fax Error Response Email The Personal Hosted Fax and Shared Hosted Fax features allow users to send an email with an attachment to [email protected] (where DID is the fax’s destination number). Previously an error notification was not returned in cases where the email had no attachment or it was an incorrect file type. After this update, an emailed reply will be returned with a message as to whether an attachment was not added or if the attachment was not a PDF, JPG, JPEG or PNG file.   Call Recording & Hosted Fax Configuration Tests For both Call Recording and Hosted Fax, download settings can be applied to automatically copy the files to your own FTP/SFTP or Amazon S3 accounts. A new test option is now available so that once you enter your configuration, you can test a file can be successfully written to the configured server:       Updating Calling Name When placing external calls, the calling name is typically delivered to the person you are calling by their phone provider. In some instances, VoIP providers may carry calling name information end-to-end and in these cases, the person you're calling may see your seat name as the calling name. An option has been added to the portal within the Outgoing Calls, Calling Line ID section to change the calling name for calls that are “on-net” (carried VoIP end-to-end). It is recommended that the Group Calling Name match the Caller ID Name (CNAM) set when you ported in your phone numbers. This provides consistency and displays the same calling name to the person you’re calling, whether they’re on a mobile device or using another VoIP provider:       Updates Assigning Hosted Fax Users When assigning a user to a Shared Hosted Fax account, the drop down will now reset to Select User instead of remaining as the previously selected user.    Hosted Fax Permissions If the permissions for viewing and permissions for deleting faxes are added to a Shared Hosted Fax user, and the permission for viewing faxes is removed, the permission for deleting faxes is not removed. This has been fixed.   Clone User A minor update has been made to the Clone User feature. Now when the number list spans multiple columns, you can select a specific number and the radio button for the number appears beside it.    Manage Phone System If you reassign an extension to a different user while doing a device swap or other action in the Manage Phone System widget, but then close out of the Reassign dialog, the Manage Phone System screen will no longer remain grayed out.    Announcement Repository When choosing the Service Announcements in the Announcement Repository and then selecting the filter as Call Center, the filter box will no longer reset to Auto Attendant.    User Imports & Call Recording Settings When modifying users via a CSV import file, changes to a user that has Call Recording will no longer cause the user’s call recording settings to become out of sync between the portal and the user settings. Cases where the settings in the portal don’t reflect the settings on the users will be updated.   Estimated Taxes When placing an order via the Buy Services option, the estimated tax had not been calculating correctly. This has been fixed.   Swapping Generic Device and Poly Devices When swapping a Generic Device to a user that currently has a Poly device, the Generic Device SIP credentials will now update correctly after the swap when selecting the “i” information icon. ... With the addition of the Voyant Calling with Webex packages, you now have a number of options for selecting the right app solution to use with your phone service:  Voyant Connect  officeXtend  Voyant Calling with Webex  Mixed Environments. This guide will help you choose which solution is right for your business.   Voyant Connect Despite the popularity among many customers, Voyant Connect is no longer supported and was fully decommissioned in October 2023. Consequently, you must decide between using officeXtend or a Voyant Calling with Webex package.    officeXtend officeXtend is our currently supported mobile and desktop app solution, offering key features such as: Ability to place and receive calls Dialpad Enterprise contact list and local contact integration on iOS/Android Call history with callback Single and multi-party chat messaging with SMS/MMS capabilities (brand and campaign registration required prior to use) Easy to use mid-call controls like hold/resume, mute, speaker, blind and attended transfers, conference (merge), in-call DTMF dialpad for use with IVRs and voicemail systems Quick access to your call control options like do not disturb, voicemail settings, call forwarding, simultaneous ring settings, call center queues, full PBX directory lists, visual voicemail and more. We can offer the Voyant Calling with Webex Basic seat for the same cost as your current Premium seat! Additionally, the Voyant Calling with Webex Standard can be offered at an attractive cost increase that may make this your go-to package. The VoyantCalling with Webex Premium package is of course a higher cost package. Desktop apps For the desktop app, you cannot run both apps at the same time. You MUST fully exit Webex if you are intending to use officeXtend, or fully exit officeXtend when you need to use Webex. Running both desktop apps at the same time will result in the following: Only one of the apps will ring on incoming calls, and it will be random as to which one rings. Placing outbound calls will frequently fail. For desktop, it's generally recommended to just use the Webex desktop app and do any SMS/MMS messaging from the officeXtend mobile app (see below). Otherwise you will be exiting and restarting the apps all day just to check text messages. Mobile apps For the mobile apps, you can be logged into both the Webex App and officeXtend at the same time. However, if you are logged in on the same phone at the same time, it may appear random as to which app was able to be the one to alert you on the incoming call. If you reject that call, the other app will then start ringing. The recommendation here is to use the Webex App as your primary soft phone app and use the local DND operation in the officeXtend app as outlined in the user guide. The local DND setting will reject any calls to officeXtend which would then allow the Webex app to ring instead. In this way, the officeXtend mobile app could be used just for the SMS/MMS features with the Webex App being your primary for handling all your calling and other messaging needs. Messaging compatibility between the apps The messaging back-ends for the officeXtend and Webex solutions are completely different and are not compatible. This is another reason that if you plan to be in a mixed solution, you should adopt a Voyant Calling with Webex package as the base for everyone, then use officeXtend only for the users that need SMS/MMS as recommended above.     Conclusion If you need a simple calling solution with external messaging (SMS/MMS) and don’t have a need for collaboration or video calling, then officeXtend will be a better fit. Android has a number of default settings to help optimize the battery. These settings can cause delays to applications in how fast they are allowed to wakeup from the background when getting a push notification. The default is to optimize battery performance which works in general for most apps that are not time sensitive. For a calling application, the battery optimization will cause delays before your phone will start ringing and should be turned off.   Depending on your phone manufacturer, the battery optimization settings may be in different places. To turn off battery optimization, go to Settings, then locate the menu for "Apps", though in some Android versions it might be "Apps&Notifications" and locate the officeXtend or nCommand Plus application. Your settings might show a "See all xx apps" header. Touch the text to expand the list to see all apps if the list is not already expanded, then scroll down until you find the app you are using.   For Samsung and other models, touch the Battery section, then choose unrestricted as the battery optimization method. This should update the optimization settings for Samsung.   For other device manufacturers, you might have to to expand the Advanced section and touch the Battery option. A section might be titled "Battery optimization". If this section says "Optimizing battery use", then you may experience delays when ringing. To fix this, touch the "Battery Optimization" section. This will bring you to a list of apps. The default is to show apps that are currently "Not optimized". Touch the header that says "Not optimized" and choose "All apps" from the options. This will expand the list to show all apps including ones that are currently being optimized. Scroll down the list until you locate either officeXtend or nCommand Plus (whichever app you're using). Quality is reliant on individual factors such as network connections, wireless networks, location, etc.   For call quality issues, these will need to be analyzed and troubleshot on an individual basis as each device and network play unique factors to quality of service.   The officeXtend client has a helpful troubleshooting tool that can be utilized to expedite the troubleshooting efforts. For 2.6 and newer With the new 2.6 version of officeXtend, a new Log out option is available in Settings in both Android , iOS clients and desktop clients. When using the new Log out option, call history and other data is now retained unlike with Reset. Reset should be used if requested by support in cases where clearing the data may be needed for troubleshooting purposes.     For 2.4 and earlier When the Reset Application (on Android), Log Out (on iOS) or Reset (on Desktop) option is selected, it will reset everything and log the user out. It will also wipe out all data associated with the app locally for example,  clear all data including theme, preferences and calls history (from application only). This does not affect Contacts as those are stored in the phone contact list.   The user will need to re-enter their login info and application preferences/permissions the next time they log in. Desktop: Click the gear icon (Settings) and choose Logs from the sidebar, then click Save to download the log to your computer.     Calls Take a Long Time Before Ringing on Android   Android has a number of default settings to help optimize the battery. These settings can cause delays to applications in how fast they are allowed to wakeup from the background when getting a push notification. The default is to optimize battery performance which works in general for most apps that are not time sensitive. For a calling application, the battery optimization will cause delays before your phone will start ringing and should be turned off.   Depending on your phone manufacturer, the battery optimization settings may be in different places. To turn off battery optimization, go to Settings, then locate the menu for "Apps", though in some Android versions it might be "Apps&Notifications" and locate the officeXtend or nCommand Plus application. Your settings might show a "See all xx apps" header. Touch the text to expand the list to see all apps if the list is not already expanded, then scroll down until you find the app you are using.   For Samsung and other models, touch the Battery section, then choose unrestricted as the battery optimization method. This should update the optimization settings for Samsung.   For other device manufacturers, you might have to to expand the Advanced section and touch the Battery option. A section might be titled "Battery optimization". If this section says "Optimizing battery use", then you may experience delays when ringing. To fix this, touch the "Battery Optimization" section. This will bring you to a list of apps. The default is to show apps that are currently "Not optimized". Touch the header that says "Not optimized" and choose "All apps" from the options. This will expand the list to show all apps including ones that are currently being optimized. Scroll down the list until you locate either officeXtend or nCommand Plus (whichever app you're using).
